Vidyo is an easy to use solution to participate in multi-point video conferences over the Internet using just your Windows PC, Mac computer or VidyoRoom™ System. Connecting to H.323 legacy endpoints like Polycom, Tandberg, Sony or LifeSize is also available. All that is required is an account and compatible hardware (computer, webcam & headset or USB speakerphone). See Quick Reference Guide [PDF} for instructions for using Vidyo.
To initiate a meeting with Verizon Access New Jersey Vidyo servers you must be an ANJ member and have an account. Please apply for an account here. After reviewing your request we will email your login credentials and URL.
Guests
Guests can be invited to a meetings and do not require login credentials. They simply login as a Guest. See the Quick Guest User´s Guide [PDF} for instructions. Guests can not initiate video calls or control meetings.
Install Desktop Software and Start a Meeting
When joining an online session for the first time you will be prompted to download and install the required and VidyoDesktop™ software. Once installed you can connect with other users, make video calls to legacy H.323 endpoints and arrange to participate in bridge MCU calls from most any broadband connection. You can call other partcipants by calling them "direct" if they are online or Join your own meeting room and host a multi-point video conference by inviting "guests" via email, dial legacy H.323 endpoints and invite other
participants. No scheduling is required.
Controlling your meeting or session is done from the Verizon Access New Jersey Vidyo web page URL you were given when setting up your account. Just click on the link on the upper right of the web page "Control Meeting" (see 7 on Vidyo UI below)

Making a Direct Call
In the Contact Search Field (see number 1 on the above image), type the name of the person you want to call. The names should start dropping down as you type. After you find the person you want to call, check to see if they are online. They must be online and ready to receive a call. If the user is online just click on the Call direct button.

Vidyo will "ring" the user you selected and when they answer your video conference will automatically begin. Frequently called users can be added to Add/Delete Contact (see 6 on the above image)
Start a Multi-point Meeting
Once logged in to your account, just click on the "My Room" button.

Now click on "Join Room" button to enter your meeting room and start your conference.

You can have other users to use the Contact Search Field [1] to search your name, select it and click on "Join Meeting" button to meet you in your room. You may invite outside Guests, dial H.323 endpoints like Polycom, Tandberg, Sony or LifeSize, invite other users on the system. the amount of
participants is controlled by the system administrator. Up to eight participants can be see with video at the same time.
You have the ability to control the layout on your computer in various different views without affecting other participants (with 3 participants or more). You can share most any open window on your computer to allow other participants to view you browser, slides, applications, pictures, etc.
You can control Vidyo's various features like volume, mute, sharing and full screen from the desktop software's toolbar.

Inviting Other Participants
To invite other participants on the system Start a Multi-point Meeting (see above).
- Click on Control Meeting.
- Click on Add Participants icon

- Search Add Participants field by name.
- Click on name.
- Click Add button.

- Repeat this process until you have added all the participants on the system you want. Then click on the Done button.

- Now hover over each name and click on the Connect button.

You selected participants will now be invited to your meeting.
Inviting Outside Guests
Invited "guests" which are not registered users of Vidyo do not need an account. They can simply log in as guests.
To invite another participant:

- Click on Invite by Email on the lower right section of your Vidyo homepage (see above).
- If you have not already created a link (URL) for your room you will be prompted to do so. Your room requires a link in order to invite guests. This URL is unique to each virtual room on the system.

Click the OK button to create the room link (usually this only needs to be done the first time you use this). The VidyoPortal will now create the link for your room and open your default email application inserting the link and information for your "guest" to join your meeting. Add any recipients you would like to invite.
- Your invited guests can click on the link in the email and go to the URL using their PC or Mac's browser, login using the "Guest" login area and allow the
desktop software to install (this install is needed only the first time they use Vidyo). They will be moved directly into your meeting room.
GUEST LOGIN NOTES
- You can use the same URL for all guests and all meetings.
- Guests DO NOT need a login ID or password. They only have to enter their name so they can be identified in the meeting.
- The room link grants guests access to only your meeting room.
- You are NOT notified when a guest participant joins your meeting room. However, you can see all the participants in your meeting room, including guests, in the home page by selecting My Room. You must enter your room to join the meeting.
- A guest can join your meeting room before you join the meeting.
- To change your meeting room URL, click Settings and in the My Room page, click the Create New button. A new room link is generated and the old link no longer works.
Controlling Your Meeting
When using Vidyo in "your" own virtual room, you have the ability to control the other participants during the meeting. From the "Control Meeting" (see 7 above on Vidyo UI Legend). Use the Status/Action icons displayed.
- Stop/Start Video - Click on the camera button to stop or start the video from any attendee.

- Mute or un-mute microphones for any attendee. Click on the microphone button to mute or un-mute the audio of any attendee.

- Disconnect any meeting attendee - Click on the Connect button to disconnect any attendee from your meeting.


Dialing H.323 Legacy Endpoints like Polycom, Tandberg, etc.
Using Verizon Access New Jersey VidyoConferencing™ solution you can "dial" most any legacy H.323 endpoint as long as it is reachable on the public Internet. Bridged calls can be arranged with the ANJ Staff for connecting to room systems on the ANJ network, for multi-points with various legacy video endpoints or with ISDN connections.
To dial a H.323 legacy video endpoint at a public IP address you must use the prefixes provided below plus the public IP address of the endpoint you want to call.
Type in the "dialing prefix" (see below) and click on the Direct Call button button. An invite will be sent (will ring legacy H.323 endpoint). This will setup a point-to-point video call between you and the H.323 endpoints. For making multi-point conferences just Join your meeting room first, then call the H.323 endpoint.

* Preferred Mode makes speaker more prominent in a multi-point connection. H.39 supports sending presentations to certain H.323 video endpoints.

Since resources are not unlimited using CIF dialing prefix is more desirable in most cases.
Vidyo can be used to call most legacy MCUs. Just have the operator of the MCU setup a conference to accept a call from the Vidyo Gateway at 151.204.177.69. Then dial the MCU's IP address using the "60" prefix. Example
60[MCU public IP Address] or 60192.168.1.1 for a CIF connection @ 384. Using the "70" prefix for a SD connection @ 768.
Legacy H.323 Endpoints Calling Vidyo
Legacy H.323 endpoints like Polycom, Tandberg, Sony or Lifesize can make calls directly to Vidyo users as a point-to-point call or to Vidyo meeting rooms. What is required is the correct dialing format for each H.323 endpoint and Vidyo User or Room ID.
The dialing format for Polycom, Tandberg, Sony or Lifesize varies as this is supported differently by each of the legacy H.323 endpoint manufacturers. You can dial from these H.323 endpoints to either a Vidyo user directly as a point-to-point call or to Vidyo meeting room. Here are the basic format or dialing string:

The TS4 varies depending on H.323 endpoint manufacturer:

Note: If your H.323 endpoint is registered with a gatekeeper you may have to configure the gatekeeper to allow this video call. It is usually easier to dial from Vidyo to the legacy endpoint (see Dialing H.323 Legacy Endpoints above). If you need assistance contact us.

Software Downloads
The Vidyo Desktop software is downloaded the first time you join a session. You will be prompted to allow the download and installation of the required software to your computer when joining an online session. You must have an account to use Verizon Access New Jersey's VidyoConferencing™ server.
Vidyo Add-in for Microsoft Outlook
Vidyo’s add-in for Outlook 2003 and 2007 will create a shortcut button on your Outlook tool bar which will enable you to add your Vidyo conference room to your meeting invitations with a single click.
